Steps 1 to 4: from your first message to a preceptor's yes

Most of the early work happens before you hear a name. Each check mirrors a rule in Ball State's own documents, so the preceptor we bring you has already cleared the tests that sink most sites.

You tell us your track and next courseSend your program, the next clinical course on your plan of study, such as NUR 681 or NUR 672, its term, your home county and your current job. Your unit matters, because FNP clinicals cannot run in your own unit or clinic.
We check the ground rules firstYour placement advisor confirms your home state and search area are authorized for your program on Ball State's State Authorization Map, removes any system Ball State will not contract with in your state, and notes system rules such as IU Health's Indiana residence and license requirement.
We search for the course, not just a clinicianEach FNP course pulls toward a different practice: adults in primary care for NUR 681 and NUR 683, children for NUR 682, women's health for NUR 684, and 180 hours at roughly 1.5 to 2 days a week for NUR 673. We ask about patient mix and available days before we ask for a yes.
We confirm a yes that will holdA yes counts once the preceptor has room on your term's dates, the practice knows a Ball State affiliation agreement comes next, and we know who signs it. Only then do you get the name.

Steps 5 to 8: agreement, paperwork, clearance and the term

The second half runs on the calendar. Ball State asks students to begin agency arrangements about a semester ahead and keep a backup agency every semester; we run both clocks for you.

The agreement starts earlyBall State strongly prefers its standard affiliation agreement, cautions that an agency's own contract can slow approval considerably, and accepts only original signed copies. A backup is lined upWhile the first agreement moves, we keep a second practice that suits the same course interested, so a late no from a legal office still leaves you somewhere to go.

How early we start, and what happens if you are late

We plan backward from the first day of your course. Ball State's graduate handbook advises planning each clinical course at least a year out, and its Current Student Resources page puts agency arrangements about a semester ahead. On the 2026-27 calendar, a course opening with the spring term on January 11, 2027 means the agreement should be moving during fall 2026. That date math is ours; your clinical packet holds the official deadlines.

Large Indiana systems keep their own calendars: IU Health's Office of Clinical Education takes fall applications from March 1 to April 1, and Community Health Network's fall deadline for NP students is May 1. What you receive from your placement advisor

Every match arrives as a short, complete file, ready for the packet and the School's review.

The preceptor's name, credentials and setting, checked against the qualification list you share from your packet.
Why the site suits the course, including patient mix for NUR 682 or NUR 684.
The agency contact who signs Ball State's affiliation agreement.
A weekly schedule: about one clinical day a week, closer to two for NUR 673.
A backup practice for the same course.
Your ADB renewal dates that fall before the course ends.

If anything on that list shifts before the term, such as the preceptor's days or the person who signs, your placement advisor updates the file and lets you know.

The same method for every Ball State program

The FNP concentration and the post-master's FNP certificate carry the most clinical courses to place, but the method carries over to every track, with the rules each one brings.

Nurse Educator and Leadership and Management: the 180-hour NUR 672 practicum may run at your employer under a master's- or doctoral-prepared RN, though not on your own unit. More on the role practicum.
Post-master's FNP certificate: Ball State's documents list different eligible states, so we confirm yours first.
DNP: cognate practicum sites, plus a project site you confirm with your DNP Project Committee before NUR 792.
BSN in Muncie: the School of Nursing places you, so no search is needed.

Questions Ball State students ask

How far ahead should I contact you before a Ball State clinical course?

As early as your plan of study allows. Ball State's handbook suggests planning each clinical course at least a year ahead, and the agency needs roughly a semester for the agreement. Six months or more leaves room for a strong fit and a backup; a shorter window means we approach more practices in parallel from day one.

Does Ball State have to approve the preceptor you find?

Yes. Your course faculty and School of Nursing staff review every site, and the agency still signs Ball State's affiliation agreement. Our role is to bring them a preceptor and site that already fit the course and the School's rules, along with the details the clinical packet asks for, so nothing is missing when their review begins.

Can you find me a preceptor inside IU Health?

IU Health asks NP students to apply through its Office of Clinical Education instead of approaching its providers, and limits placements to students who live in Indiana and hold an Indiana nursing license. If you qualify, apply during its window. We respect that process and search independent practices, community health centers and other systems alongside it.

What if I move to another state during the program?

Ball State's handbook gives you seven days to update your address and notify the Clinical Placement Coordinator, and your new license goes to American Data Bank for approval. The new state must be authorized for your program or you cannot progress. Tell us as well, and we restart the search for your next course where you now live.
